The REACH Delivery system
provides a communication and software environment
capable of supporting the document delivery, control and
tracking requirements as set out as part of the REACH
programme.
The REACH Delivery system
manages the delivery of all REACH related document types
(including Safety Data Sheets, CEFIC letters and
agreements etc.) within a multi-tiered, many-to-many,
cascading structure. The system is able to provide for
the delivery of documents both up and down the supply
chain. It is designed to provide your company with an
efficient and controllable way of communicating with its
customers and suppliers through a direct gateway to the
desktops of their customers and suppliers (including
specific departments or personnel). The system provides:

Fully automated and secure management and
distribution of documents, messages and files to
customers

Automated receipt and management of
incoming Safety Documents, ensuring the latest version is always in
use

Guaranteed and monitored delivery

Updated documents will remove access to
outdated versions, even if stored at your customer’s
site, ensuring that only the very latest documents are
in use

Alert to new/updated documents,
highlighting changes and new information

Answerback capabilities for recipients of
the documents to complete and return, receipts and
acceptance forms etc. to designated personnel

Extensive Audit Trails monitoring and
recording to a database, all company and customer

REACH Delivery’s software
components operate on both the provider and recipient
sites with communication facilities between the two. It
provides your customers with a structured access to the
required REACH related documents ensuring that each
customer receives the documents that are relevant to
them. It ensures that they no longer have to search for
and download documents and the system always provides
them with the very latest document. They can also be
alerted to changes or new documents where necessary.
For your company it
means that it can maintain its documents in a secure,
structured and controllable way. It is able to automate
the distribution of all relevant documents to the
customers that require them and it is able to guarantee
delivery and monitor all access activity. It is also
able to ensure that only the most up-to-date documents
are accessed by its customers. Receipts and acceptance
forms can be obtained electronically from customers and
returned through REACH Delivery to designated managers or
administrators.
Audit Trails provide
for exception reports detailing which customers have not
received, accessed or acknowledged the documents sent to
them. The system provides an environment that not only
ensures that compliancy requirements are met but can
demonstrate compliancy through the electronic audit
trails and provisions for remedial action where
necessary.
The REACH Delivery system provides an environment to support;-
Automated Distribution
Fully automates the
distribution of REACH related documents to multiple
recipients. Guarantees and monitors the receipt of
documents. The system supports a sophisticated method of
structuring complete catalogues of your company’s
documents and files. Documents are referenced against
the REACH maintained Database of Companies, in order for
the company sending the documents to establish which
customers are able to access which documents. Each
company using REACH Delivery is able to update the central
database with additional, private or public, customers
of their own as required.
This ensures for a
highly efficient and automated distribution process in a
fully secure environment.
Guaranteed up to
date version control
Enables full post
publication control of distributed documents, files etc.
Provides complete control over documents after they have
been distributed to customers ensuring that;-

Only the very latest, most up to
date documents are accessible by the customers.

Out of date or superseded downloaded
documents are no longer accessible.

Customers are alerted
immediately
of an updated or new document, optionally informing them
of the specific updates to sections or passages.

Customers are given immediate and
seamless access to the updated documents with no
requirement to search and download new documents.

Replaced documents are automatically
archived
Comprehensive Audit trails
Information on all
company and customer activity related to the your
company’s documents is maintained on a database. Your
company is able to then define its own reports and
enquiries in support of it’s operations as well as
providing Compliancy support for regulated documents.
For example it is possible to produce exception reports
that would show all of the customers who have not
received or read a specific document. Alternatively it
is possible to produce reports that could show all
customers that have accessed a document but have not
acted upon it.
Audit trails are
fully secure and discrete for each primary user of the
service.
Integrated
Document Security
The system supports
multiple levels of security covering transmission of
documents, access by customers and post publication
document protection. REACH Delivery provides for fully encrypted
transfer of information and communication between your
company and it’s customers. All access to the system and
the documents can be subject to multiple level security
checks. Documents are then subject to security and
protection even following publication to customers. For
example it is possible to restrict selected documents so
that they may not be printed, copied or emailed.
Customer Response
REACH Delivery contains a
customer response feature. This provides the capability
to set up pre-defined receipt or acceptance forms for
the ‘client’ to complete and return to designated
managers or administrators within the company (or
externally if required). Once completed the customer
would ‘submit’ the form, which would then send the form
to the designated personnel. The Audit Trail facility
allows for the forms to be tracked and exception reports
to be produced, showing which customers have not
completed the required forms.
Receiving
Documents
Safety Documents and associated
documents are received seamlessly from your suppliers
and are automatically entered into pre-designated areas
of your library. As new documents appear or documents
are updated you are alerted to the new document and are
informed of what has changed, reasons for change etc.
Outdated documents are replaced, without intervention by
the new version. At any time, when accessing any
relevant document, you can be sure it is the most
current version. Documents may be stored on-line,
locally or on a combination of both.
Internal Document
Distribution
As well as the
distribution of out going documents to customers, the
system also provides for the internal distribution of
incoming (or outgoing) documents to other members of
staff and to other companies in the group. Any
recipients of documents distributed internally in this
way will also be automatically kept fully up to date
with new versions as they are
received.
REACH Delivery Professional Administrator
This is an optional component aimed at offering a
greater degree of management capability in respect of
Safety Documents documents. The Professional Administrator can
operate on your company’s own servers or on hosted
servers if required, and provides for complete
integration with REACH Delivery. The Professional Administrator
offers more advanced capabilities and a greater degree
of flexibility in respect of maintaining and managing
REACH related documents. The system is able to support
interfacing to Safety Documents production systems and Document
Management Systems and also provides greater support for
more complex, multiple location, international company
structures facilitating internal as well as external
document distribution and messaging.
